How to plan the perfect real estate agent's day

Ask any of the most productive real estate agents you know what they do all day and you’ll get a million different answers.

That’s one of the joys of being a real estate agent — there’s no set schedule to tie you down, so each agent has the freedom to make their own hours.

But all that freedom can be dangerous. Without a plan, you could waste valuable time, selling yourself short and not reaching the business success you dream of.

Planning a real estate agent’s perfect day is all about productivity, efficiency and balance. With this sample schedule, you can get started being more productive and more efficient while still having time for life outside of work.

Plan for a Perfect Real Estate Agent Day

To plan a perfect real estate agent day, it helps to start with a few key guidelines. Numerous schedules could result in a perfect day, but most will follow these six principles:

  1. Create a logical plan that works.
  2. Do your most important tasks first.
  3. Use blocks of time for better efficiency.
  4. Include everything in your schedule.
  5. Make time to grow your business.
  6. Protect your personal and family time.

Here’s a sample schedule of a real estate agent’s perfect day that puts that plan in action:

6:00 a.m. – Wake Up Nice and Early

Getting up with the sun (or even a little before) can really feel invigorating and it’s the perfect way to start a productive day.

It’s really true that when you are doing something you love, you will have no trouble getting up in the morning. As a real estate agent, you get to work in an environment full of beautiful properties, interesting people, challenging problems and big rewards for a job well done.

While a perfect real estate agent day begins while many people are still sleeping, that doesn’t mean you’ll jump right into work. That comes later. Instead use early morning hours to get ready, prepare a healthy breakfast or get in some light exercise.

6:30 a.m. – Have a Morning Routine

A real estate agent’s perfect day isn’t just about business — it can also be holistic, with a morning routine you customize to be your own.

Your morning routine could be centered around enjoying breakfast with family, working out, doing yoga, going for a walk, meditating, writing in a journal, or anything else you enjoy that helps energize you for a busy day.

Plus, you may be surprised to learn that a healthy morning routine can do wonders for your productivity

8:00 a.m. – Prep for the Day

Preparation for meetings and calls that will happen later in the day can really have a positive impact on your day.

If you’re forgetting files at home, running late to appointments or finding yourself out of the loop on important transaction developments, it’s going to be almost impossible to have a good day. Planning and prep make the rest of the day less stressful and more fun.

Day prep often varies from day to day, just as each day’s specific tasks will vary. You may have a busy calendar to go over with an assistant, new hot sheets to catch up on, marketing tasks to execute or something else that needs your attention.

9:00 a.m. – Set New Appointments

Buyer and seller leads are the lifeblood of any successful real estate business, so it’s only natural to start your day with prospecting and setting new appointments.

When you’re in this business, you not only have to think about having a perfect day as a real estate agent today, but having perfect days consistently for years to come.

The possibility of hearing a “no” first thing in the morning isn’t fun for anyone, but it’s necessary so you can get to the next “yes.”

Spending a little time every day setting appointments with new leads helps ensure you have a happy and successful career in real estate for years to come.

11:00 a.m. – Get to Inbox Zero

Keeping up with email is less stressful and more efficient when you process your messages in batches using the Inbox Zero method

A perfect real estate agent day can easily be ruined with an overflowing inbox that bogs you down and throws off your whole schedule. Processing your email in batches one or two times a day helps you focus on what’s really important and save lots of time.

Plus, you can use Folio to get to Inbox Zero faster and save hours per week while looking like a real estate communications pro.

12:00 p.m. – Break for Lunch

By this point in the day, you’ve already gotten a lot done, so be sure to take a well-deserved break for lunch and relax.

During a perfect agent day, you’re going to need time to mentally recharge and fuel your body for a busy afternoon of activities.

Eat lunch with a friend, family member, or co-worker, take a walk and otherwise decompress.

1:00 p.m. –  Prep for the Afternoon

There are always things that come up during the day and after lunch is a good time to take care of them.

Use this next block of time in your perfect day to follow up with leads, return client calls, check in with your team or assistant and look ahead to what’s next on the agenda.

Be sure to grab all the necessary forms, documents and driving directions you’ll need for your afternoon appointments.

2:00 p.m. – Head Out for Your Appointments

Getting out and about for face-to-face appointments is a great of the afternoon hours and it will feel great to move around after sitting in your office all morning.

A perfect real estate agent day ideally entails two or three 90-minute appointments where you will meet with prospective sellers to present listing presentations, conduct showings with your buyer clients and handle other real estate appointments.

When you have free time due to a cancellation or empty appointment slot, you can stay productive by getting ahead on tomorrow’s appointment setting, phone and email followups or current marketing campaigns.

5:00 p.m. – Wrap Up the Workday

When you’re planning a real estate agent’s perfect day, don’t forget about wrapping up your workday and tying up any loose ends.

Here, you can take time for another short block of email batching, reviewing your accomplishments for the day and looking ahead to your objectives for tomorrow.

It’s always great when you can wrap up and go home at a decent hour, so plan on taking care of what you can and heading out no later than 6:00 p.m. each day.

6:00 p.m. – Unwind and Unplug

Your perfect agent day may be over, but what you do after work can have just as much impact on your happiness and success as what you do during the workday. Make sure to unwind and unplug.

Many of the most successful people in the world agree that taking time to relax is key to success. While we don’t think about very productive and successful people sitting around relaxing, it’s one of the secrets of their success.

Use your unwind and unplug time to enjoy dinner with friends and family, play with your kids and spend time with your significant other. Then you’ll be ready for another big day tomorrow.

10:00 p.m. – Get a Good Night’s Sleep

At the end of the day, make sure to get a good night’s sleep. At least eight hours is ideal.

High-quality sleep on a regular schedule is key to having the energy needed to handle the pace and challenges of being a real estate agent.

It’s the end of a perfect day as a real estate, but if you follow this schedule, you’ll be ready to do it all over again tomorrow.
